Founder Ashley Holzapfel earned her Bachelor of Business Administration in Sport & Event Management from George Washington University. Her resume boasts over 15 years of diverse event coordination & management, from organizing proms & carnivals to celebrity meet & greets, restaurant openings, Super Bowl parties, and the like. After moving to Colorado in 2011, it made sense to begin wedding management & event coordination. She worked 3 seasons for different venues & loved seeing couples' visions turn into a reality. Now she is out on her own, which means more flexibility & personal touches. PARTIAL COORDINATION

12 MONTHS PRIOR TO WEDDING

  • Overview call with couple to learn of budget, all hired vendors, and overall planning done

  • If vendors are not hired or hiccups arise, present new vendors to hire within budget

  • Ensure all necessary vendors are booked

  • Unlimited emails between myself and couple for questions & planning advice on wedding design, layout, cost cutting suggestions if appropriate

1-2 MONTHS PRIOR TO WEDDING

  • Review vendor contracts & their deliverables

  • In person walk through at venue, offering suggestions on decor & table locations

  • Detailed review of timeline, layout, vendors, decorations, approximately 2 hour in person meeting with couple and caterer

  • Additional vendor meetings upon request

  • Communicate via email with all vendors to review arrival times

  • Email walkthrough packet & layout one month prior to wedding to vendors & couple for review and final edits

  • Email finalized walkthrough packet & layout at least one week prior to wedding to all vendors & couple

DAY BEFORE WEDDING

  • Rehearsal coordination, approximately 1 hour at venue or mutually agreed upon location

  • Work with officiant on precessional, processional

  • Review any unanswered questions

  • Obtain guestbook, programs, menu cards, favors, cake knife & server, toasting flutes, candles, any non-perishable centerpieces, final checks for vendors, etc. prior to departure

DAY OF WEDDING

  • Arrive 2 hours prior to guest arrival (ex:ceremony start time is 5:00PM, I would arrive 2:30PM)

  • Check in with couple & handle any needs that arise

  • Be liaison between vendors and couple/family

  • Distribute final payment checks if applicable

  • Ensure all table, chairs, & decor setup at reception has been executed to specification of couple & all contracts have been fulfilled by vendors

  • Set up favors, menu cards, candles, cake knife & server, toasting flutes, etc. if not done by vendor or set up crew

  • CEREMONY

    • Set up ceremony site with table, linen, & couple activity if applicable

    • Ensure correct number of seating at ceremony site, especially front rows for reserved seating

    • Distribute bouquets and pin boutonnieres

    • Greet guests & get them seated

    • Coordinate with DJ to queue ceremony music or play music on provided sound system

    • Line up & queue ushers/family, wedding party, and couple down the aisle

    • Move floral arrangements, guest book, any other decorations to reception

    • Break down ceremony site with set up crew

  • RECEPTION

    • Communicate with all vendors in order to follow previously established timeline

    • Coordinate with photographer & DJ in order to get couple announced

    • Coordinate with caterer to ensure food is ready to be served prior to guest seating

    • Ensure timely activities - toasts, first dances, cake cutting, garter & bouquet toss

    • Box up guest book, marriage license, extra programs or menu cards, all gifts etc. & put in safe spot
